We will only collect information we reasonably need. We will keep your information secure and only share it with people who need it for the pilot, such as authorised Hanz On Jobs Ltd staff and MSD staff.
You can ask to see the information we hold about you. You can also ask us to correct it if something is wrong.
We will not use your name, photo or story for public promotion unless you give separate permission.

Hanz On Jobs Ltd is committed to protecting the privacy, dignity and personal information of people taking part in the Hanzon Logbook MSD Work Readiness Pilot.
This privacy notice explains what personal information we collect, why we collect it, how we use it, who we may share it with, how we keep it safe, and what rights participants have.
The Hanzon Logbook MSD Work Readiness Pilot is a 12-week programme delivered in partnership with the Ministry of Social Development / Work and Income. The purpose of the pilot is to help participants build a practical record of their daily effort, routine, work-readiness activity, progress, and employment-related outcomes using the Hanzon Logbook and weekly check-ins.
We collect only the information we reasonably need to run the pilot, support participants, report progress to authorised MSD staff, meet our contractual obligations, and comply with legal, privacy, safety, complaints, reporting and audit requirements.
1. Who This Notice Applies To
This notice applies to people who are referred to, invited to, or enrolled in the Hanzon Logbook MSD Work Readiness Pilot.
It also applies to people who use the Hanzon Logbook as part of the pilot, take part in weekly check-ins, receive employment support, take part in work-readiness activities, volunteering, work experience, training or job-placement support through the pilot, or contact Hanz On Jobs Ltd about the pilot.
This notice is separate from Hanz On Jobs Ltd’s general website and recruitment privacy policy. It is intended specifically for the MSD Work Readiness Pilot.
2. What Personal Information We May Collect
Depending on your involvement in the pilot, Hanz On Jobs Ltd may collect basic participant details. This may include your name, phone number, email address, general location or area, emergency or support contact details if needed and agreed, basic registration details needed to set up your logbook account, and a profile photo or other identification image if needed for identification or programme administration.
Hanz On Jobs Ltd may collect referral and programme information. This may include information provided by MSD / Work and Income to refer you into the pilot, confirmation that you are eligible to take part in the pilot, your agreed programme start date, attendance and engagement information, appointment records, check-in records, meeting records, notes about your goals, progress, barriers, support needs and next steps, and information about your involvement in training, work experience, volunteering, interviews or employment opportunities.
Hanz On Jobs Ltd may collect Hanzon Logbook information. This may include daily logbook entries, jobs, activities, tasks or routines you record, the time periods or parts of the day you record, work-readiness traits or behaviours you choose to record, general situation or setting information recorded through the logbook, notes, comments or updates added as part of your record, summaries, exports or reports created from your logbook entries, and progress information over the 12-week programme.
Hanz On Jobs Ltd may collect weekly check-in and reporting information. This may include weekly check-in notes, agreed action points, progress updates, employment discussions, training discussions, work-readiness discussions, participant feedback, staff observations directly related to the pilot, mid-programme summaries, end-of-programme summaries, and reports prepared for MSD, Hanz On Jobs Ltd and the participant.
When you use the Hanzon Logbook or related online systems, Hanz On Jobs Ltd may collect technical information. This may include your username and log-in records, IP address, device and browser information, system activity logs, date and time of access, pages or parts of the system used, and information needed to keep the system secure and working properly.
3. Sensitive Information
The pilot is about work readiness, routine, effort, progress and employment support. Hanz On Jobs Ltd does not require participants to record detailed medical, health, family, financial, benefit, legal, family violence, mental health or other highly sensitive personal information in the logbook.
Sometimes a participant may choose to share information about a barrier, appointment, support need or personal situation because it affects their participation or employment pathway. Where this happens, Hanz On Jobs Ltd will only record information that is relevant and necessary for the pilot, and we will handle it carefully.
Participants should not enter highly sensitive details into the logbook unless they are comfortable doing so and it is directly relevant to their participation.
4. Where We Collect Information From
Hanz On Jobs Ltd may collect personal information directly from you when you register, use the logbook, take part in check-ins, attend meetings, contact us, or provide feedback.
Hanz On Jobs Ltd may collect information from MSD / Work and Income when they refer you to the pilot or support your participation.
Hanz On Jobs Ltd may collect information from Hanz On Jobs Ltd staff or authorised support people working with you as part of the pilot.
Hanz On Jobs Ltd may collect information from work experience, training, volunteering or employment contacts where this is relevant to your participation and you have agreed to that involvement.
Hanz On Jobs Ltd may also collect information automatically through the Hanzon Logbook system when you use it.
If Hanz On Jobs Ltd receives information about you from MSD / Work and Income or another source, we will take reasonable steps to make sure you know what has been collected, why it has been collected, and how it will be used, unless an exception applies under the Privacy Act.
5. Why We Collect And Use Personal Information
Hanz On Jobs Ltd may collect and use personal information to set up and manage your participation in the pilot, create and manage your Hanzon Logbook account, help you record daily effort, routine, tasks, work-readiness activities and progress, support weekly check-ins and agreed next steps, and help Hanz On Jobs Ltd and authorised MSD staff understand your progress and support needs.
Hanz On Jobs Ltd may also use personal information to help identify possible training, volunteering, work experience or employment pathways, prepare progress summaries, create logbook exports, prepare programme reports, report to MSD on participation, progress, outcomes and delivery of the pilot, and meet contract, reporting, audit, quality assurance and accreditation requirements.
Hanz On Jobs Ltd may also use personal information to respond to questions, feedback or complaints, keep the Hanzon Logbook secure and working properly, improve the pilot and the Hanzon Logbook, and meet legal, privacy, safety and record-keeping obligations.
We will not use MSD pilot participant information for general Hanz On Jobs Ltd marketing unless a participant separately asks to receive information from us or gives clear separate consent.
6. Who May See Or Receive Your Information
Access to participant information is restricted to people who need it for a proper pilot-related purpose.
Depending on your participation, your information may be seen or used by authorised Hanz On Jobs Ltd staff involved in delivering or managing the pilot, authorised MSD / Work and Income staff involved in referring, funding, managing, supporting, reviewing or auditing the pilot, approved technical support providers who help maintain the Hanzon Logbook or related systems, and work experience, training, volunteering or employment contacts where this is relevant, limited and appropriate for your participation.
Your information may also be shared with other parties where required or permitted by law.
Information shared with MSD may include attendance, engagement, logbook summaries, weekly check-in notes, progress information, support needs, actions agreed, programme outcomes, employment-related outcomes and reports prepared as part of the pilot.
We will not sell participant information.
We will not share participant information with unrelated employers, organisations or third parties unless the participant has agreed, it is necessary for a pilot-related purpose, it is required by our contract with MSD, it is required or permitted by law, or it is necessary to protect safety or respond to a serious risk.
7. De-Identified And Summary Information
Hanz On Jobs Ltd may use de-identified or summary information to review, evaluate, report on, or improve the pilot and the Hanzon Logbook.
De-identified information does not identify individual participants. For example, Hanz On Jobs Ltd may report the number of participants who completed the programme, the number of logbook days recorded, or general examples of work-readiness progress without naming individuals.
8. Storage And Security
Hanz On Jobs Ltd stores information using secure cloud-based systems and reasonable security safeguards.
We take steps to protect personal information from unauthorised access, loss, misuse, disclosure, alteration or destruction. These steps may include password-protected user accounts, role-based access controls, limiting access to people who need the information for their role, secure system hosting, system monitoring and technical support, staff awareness of privacy obligations, secure handling of reports and exports, and reviewing access when staff or roles change.
Some information may be stored or processed using secure cloud-based services, including services hosted outside New Zealand. Where information is stored or processed outside New Zealand, Hanz On Jobs Ltd will take reasonable steps to make sure appropriate privacy and security safeguards are in place.
Participants should also take care to keep their own log-in details private and should tell Hanz On Jobs Ltd promptly if they think someone else has accessed their account.
9. How Long We Keep Information
Hanz On Jobs Ltd will keep pilot records only for as long as they are needed for the purposes for which they were collected. This may include programme delivery, reporting, contract management, audit, complaints, accreditation, legal and record-keeping requirements.
After that time, information will be securely deleted, archived where legally required, or de-identified so it can no longer be linked to an individual participant.
If a participant asks for their account or information to be deleted, Hanz On Jobs Ltd will consider the request and respond within a reasonable time. Some information may need to be kept where required for contract, reporting, audit, complaints, legal or safety reasons.
10. Accessing Or Correcting Your Information
Participants have the right to ask Hanz On Jobs Ltd for access to personal information held about them.
Participants also have the right to ask for information to be corrected if they believe it is wrong, incomplete, out of date or misleading.

11. Participant Choice And Consent
Taking part in the pilot may require some personal information to be collected and shared so the programme can be delivered and reported on properly.
Hanz On Jobs Ltd will explain what information is needed and why. Participants can ask questions at any time.
Where information is optional, Hanz On Jobs Ltd will make this clear. Participants may choose not to provide optional information, but in some cases this may affect the level of support, reporting or participation Hanz On Jobs Ltd can provide.
12. Photos, Stories And Promotional Material
Hanz On Jobs Ltd will not use a participant’s name, photo, story, quote or identifiable outcome for public promotion, social media, advertising or case studies unless the participant has given separate permission.
A participant can say no to promotional use and still take part in the pilot.
13. Privacy Breaches
A privacy breach may include unauthorised access to personal information, accidental disclosure, loss of information, or other misuse of personal information.
If Hanz On Jobs Ltd becomes aware of a privacy breach, we will take steps to contain and assess the breach, work out what information is involved and who may be affected, take steps to reduce harm, notify MSD where relevant, notify the Privacy Commissioner if required by the Privacy Act, and notify affected individuals where required or appropriate.
